Terms of Service
Last updated September 19, 2026
These terms are the agreement between your company and SOPStream when you use sopstream.ai. By ticking the box and creating a workspace you accept them on behalf of your company and confirm you are authorized to do so. We keep a record of the date and the version of the terms your company accepted.
The service
SOPStream turns videos of tasks into training: written steps, quizzes, sign-offs, checklists, forms, and records. AI-generated transcripts, steps, quizzes, translations, and answers are drafts - review them before relying on them, especially for safety procedures. You are responsible for the accuracy of your procedures.
Free trial and billing
- New workspaces get a 30-day free trial. A payment card is required to start it: we charge $0 at that moment, and billing starts automatically the day the trial ends unless you cancel first.
- Plans are priced on how many people in your workspace can create and edit procedures (“creators”), not on how many people you have: Crew $115 per month for 2 creators, Shop $225 per month for 5 creators, Company $395 per month for 15 creators. Members who only read, watch, sign, and run checklists are unlimited and free on every plan. Changing plans takes effect immediately and the difference is prorated.
- Prices may be adjusted on January 1st each year. Any change applies to your next invoice after that date and is shown on your Billing page.
- Each plan includes a monthly company-wide AI allowance, shown on your Billing page, which resets on the 1st and does not roll over. If it runs out, the AI features pause and everything else keeps working. Extra AI for the month is charged to the card on file only after an admin approves it. You may instead connect your own Anthropic account, in which case Anthropic bills you directly and no allowance applies.
- Each plan includes video storage (Crew 10 GB, Shop 30 GB, Company 100 GB) (uploaded videos, step clips, and generated videos). If your workspace keeps more than that, extra 10 GB blocks are added to your subscription at $5 per month each, prorated, and removed automatically when you delete videos. Your admins are emailed whenever a block is added, and the Billing page always shows your usage.
- You can cancel any time from the Billing page. Cancellation takes effect at the end of the current billing period; there are no refunds for partial months.
- If a payment fails we will retry and email your admin. Workspaces with unpaid invoices may be locked until payment is made.
Your content
Everything you upload stays yours. You give us permission to store, process, and display it only to provide the service to your company. You confirm you have the right to upload it, including consent from people who appear in your videos. We do not use your videos, procedures, records, or any other content you add in our marketing.
Customer reference
By creating a workspace, your company grants SOPStream a non-exclusive, royalty-free license to use its company name and logo to identify it as a SOPStream customer, for example in a customer list on our website, in presentations, in social media posts, and in advertising. This license lasts while your company has a workspace and for 12 months after it closes. It covers your name and logo only; it never extends to your content, your people, or your procedures, and we will not describe your company in a way that is false or misleading. This license is part of the price of the service and is not optional; if your company cannot grant it, do not create a workspace.
Ownership of the service
SOPStream, including its software, design, name, logo, documentation, and everything about how it works, is owned by SOPStream and its founders and is protected by copyright, trademark, and other laws. These terms give your company a right to use the service while you are a customer, and nothing more. No ownership of, or license to, the service transfers to your company under these terms or by any use of the service. Your company acknowledges that no employment, contractor, partnership, or other relationship between your company and any founder, employee, or contractor of SOPStream gives your company any ownership of or rights in the service, and your company will not assert any such claim based on that relationship.
Acceptable use
Do not use SOPStream to store unlawful content, to attack or overload the service, or to access another company’s workspace. Admins are responsible for who they add to their team.
Availability and support
We aim for the service to be available around the clock but do not guarantee uninterrupted operation. We back up data nightly. Support is by email at support@sopstream.ai; deeper help requires your admin to open a support-access window from Settings.
Limits on liability
SOPStream is provided “as is”. To the fullest extent allowed by law, we are not liable for indirect or consequential damages, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim. Nothing here limits liability that cannot be limited by law.
Ending the agreement
You can close your workspace at any time by emailing support from an admin address. We may suspend or end access for violations of these terms, with notice where practical. On closure, your data is deleted per our Privacy Policy.
Entire agreement
These terms and our Privacy Policy are the entire agreement between your company and SOPStream about the service, and they replace any earlier discussions, proposals, or understandings. Terms printed on or attached to your company’s purchase orders, vendor registration forms, supplier portals, or similar documents do not apply, even if we sign or acknowledge such a document, unless SOPStream expressly agrees in writing to specific changes to these terms. If any part of these terms cannot be enforced, the rest still applies.
Changes and governing law
We may update these terms; material changes are announced to admins by email and take effect 14 days later. These terms are governed by the laws of the State of Colorado, USA, and any dispute will be handled in the state or federal courts located in Colorado.
